Role Overview

The primary focus of the European Technology Executive Assistant is to support the Chief Information Officer (CIO) for European Technology. This role is expected to perform more than administrative tasks; they are often the executive’s “right-hand person” who enables them to advance company initiatives and goals. They filter and attend to the day-to-day functions that are part of the executive’s role so that the executive can focus on the high-level leadership and strategy functions.

The successful candidate needs to be resourceful, innovative, and proactive to support their executive leader. They must think independently to make decisions under pressure, and they need to have good communication skills to share information with their supervisor efficiently and effectively. Their support will be crucial in ensuring the smooth operation of our executive team, enabling them to focus on strategic initiatives that drive our business forward.

What you will help us to achieve

•    Provide comprehensive administrative support, including managing calendars, scheduling meetings and ensuring efficient time management
•    Organise and coordinate meetings, preparing necessary documents and managing all logistical aspects to ensure seamless execution of meetings
•    Support with the planning and coordination of large-scale events, such as conferences, town halls and leadership forums
•    Assist in co-ordinating HR-related activities, including recording holiday requests, managing absence records and ensuring smooth administrative processes
•    Liaise with other Executive Assistants across multiple locations and time zones to ensure effective communication and coordination
•    Oversee all aspects of Executive travel, including booking flights, accommodation, transport and ensuring all necessary travel documentation is prepared
•    Manage day-to-day office support requirements
•    Handle the processing of expenses and invoices
•    Serve as the primary contact for ad hoc queries and provide proactive support to Executive as needed
•    Offer flexible on-site support for local meetings, including visitor orientation, catering, logistics and onboarding assistance
•    Maintain a high level of professionalism and confidentiality in all matters, exercising discretion when handling sensitive business information
•    Log and track IT requests, following up to ensure timely resolution and closure
•    Assist with various ad hoc projects as required
