Role Overview

To mobilise and lead business projects from discovery to closure, assuring delivery of agreed objectives and outcomes within defined scope, timeframe and budget. A proactive, diligent and focused approach is required to bring stakeholders together, closely managing all deliverables and milestones and escalating promptly where assistance or intervention is required.

Key Responsibilities

Impact on the Business
• Ensure business objectives are achieved through proactive and diligent management of projects to successful conclusion, including delivering an excellent customer and stakeholder experience.
• Enable the business to plan with confidence by providing accurate and timely communications on project status, challenges, risks and issues.
• Develop strong working relationships with Business Owners and with Change and IT teams to ensure delivery meets expectations.
• Deliver project objectives within the agreed project delivery framework and within budget, timeline and quality expectations.

 

Project Management
• Mobilise, manage and deliver projects through the full lifecycle, following the agreed project delivery framework.
• Drive delivery to ensure project objectives are achieved within scope, budget, timeline and quality expectations, using appropriate governance and gating processes.
• Lead cross-functional planning across all parties involved in the project, ensuring alignment to the overall project plan and tracking this alignment throughout the project lifecycle.
• Manage change control, ensuring implications of scope changes are understood and agreed, following formal change control and governance processes.
• Work with the Commercial Director to manage the project budget, understanding the initial baseline and tracking actual costs to prevent overruns.
• Ensure customer and end-user experience is considered, defined and managed as a core project deliverable.
• Secure sign-off on project deliverables in line with the agreed schedule.
• Monitor completion of tasks against the project schedule and proactively resolve any slippage in the plan.

More specific responsibilities will include

Communication, Reporting and Documentation
• Ensure consistent and rigorous documentation of all project deliverables, using version control where required.
• Produce and issue official minutes and records of key decisions to the project stakeholder group promptly.
• Produce regular status reports for the project team and wider business stakeholders that are timely, accurate, relevant and concise.
• Prepare materials for steering or governance groups, highlighting in a timely manner any support or intervention required.
• Use appropriate project and portfolio management tools for status reporting, RAID management, resource planning, scheduling and planning.

 

Suppliers and Third Parties
• Proactively manage vendors and third parties involved in the project to ensure deliverables are on time, to specification and meet agreed quality standards.
• Manage vendor costs with The Commercial Director throughout the project lifecycle, protecting the overall project budget.
• Secure and manage vendor commitment to deliverables and timelines within the integrated delivery plan.

 

Innovation and Change
• Take a proactive approach and build strong stakeholder relationships to navigate complexity and dependencies with other teams.
• Demonstrate the ability to pivot and embrace continuous improvement opportunities, adopting change to improve project outcomes.

Skills and Experience

• Thorough and practical understanding of the project lifecycle and delivery of cross-functional projects involving Business, Change and IT teams.
• Excellent project planning and project management skills.
• Knowledge of industry best-practice project management principles.
• Strong vendor and third-party management experience.
• Experience of managing cross-functional project teams, including virtual teams.
• Strong delivery focus with excellent stakeholder management skills.
• Experienced facilitator, able to lead workshops and group discussions effectively.
• Familiarity with project or portfolio management tools (for example PPM, workflow or collaboration tools such as Clarity or Jira).
