Role Overview

 

Irish Life is seeking a proactive and highly organised Workplace Experience Specialist to support the delivery of a connected, seamless, and high-quality workplace experience for employees, customers, and visitors. This role sits within our Workplace services team, which is responsible for the delivery and optimisation of workplace services to support and enhance employee and customer experience, operational efficiency, and organisation culture.

 

Reporting to the Senior Manager Workplace Experience the Specialist will support day-to-day workplace experience activity across workplace services, corporate events, hospitality and catering delivery oversight, wellbeing, visitor experience, and employee engagement. This is a hands-on role requiring strong coordination, attention to detail and the ability to work collaboratively with internal teams, senior stakeholders, and external suppliers.

 

The role is ideal for someone with experience in workplace coordination, customer service, events, hospitality, facilities support or corporate services who thrives in a fast-paced, service-led environment.

Key Responsibilities

 

  • Support the delivery of a consistent, high-quality workplace experience across employee, customer, and visitor touchpoints.
  • Assist with the end-to-end planning, coordination and delivery of corporate events, hospitality moments, visitor management, workplace activities, and engagement initiatives.
  • Responsible for the coordination of key deliverables across the workplace services function, including collaboration with our team members in facilities operations, technical services, health and safety, wellbeing, projects, and our people partner teams.
  • Coordinate event and workplace experience logistics, including room set-up, catering, visitor arrangements, AV/IT requirements, supplier briefings, run sheets, and post-event follow-up.
  • Maintain workplace experience and events processes, including calendars, requests, timelines, documentation, and reporting.
  • Work closely with Internal Communications, Facilities Management, Security, Front of House, Health and Safety, IT, AV and Marketing teams and external vendors to ensure coordinated delivery.
  • Support catering, hospitality, and leisure provider activity, including bookings, service feedback, issue tracking, invoice administration, and performance reporting.
  • Assist with client relationship management, hospitality, and billing queries in partnership with finance colleagues.
  • Support wellbeing, employee engagement and workplace initiatives that contribute to a positive, inclusive, and energising environment.
  • Gather feedback, track actions, and use insights to identify opportunities for continuous improvement.
  • Provide administrative and coordination support for senior team meetings, events, projects, finance, KPI and management reporting.
  • Act as a professional and visible point of support for colleagues, visitors, stakeholders, and suppliers.

What you will need to be successful in the role

 

  • 2–4 years’ experience in workplace coordination, events, hospitality, customer experience or service, corporate services, facilities support or a related environment.
  • Strong organisational, planning, and multitasking skills, with the ability to manage competing priorities in a fast-paced environment.
  • Experience supporting events, meetings, hospitality services, workplace activities, or employee engagement initiatives.
  • Excellent attention to detail and a commitment to high-quality service delivery.
  • Strong communication and relationship-building skills, with confidence engaging colleagues, senior stakeholders, suppliers, and internal service teams.
  • Practical, hands-on approach with the ability to anticipate needs, solve problems quickly and stay calm under pressure.
  • Good understanding of logistics coordination, including room set-up, catering, visitor arrangements, supplier coordination, and event support.
  • Proficiency in Microsoft Office, Outlook, and Teams; experience supporting hybrid meetings or AV/IT logistics is beneficial.
  • Collaborative team player with a strong sense of ownership and follow-through.
  • Creative problem-solving skills, adaptability, and a positive “can-do” attitude.

Preferred Skills

 

  • Degree or equivalent experience in Event Management, Hospitality, Marketing, or a related field (optional with excellent experience)
  • Experience in a corporate, regulated or highly governed environment.
  • Familiarity with workplace experience, event management, front-of-house, customer service and experience, visitor management, or workplace safety processes.
  • Experience supporting supplier relationships, budgets, purchase orders, invoices, or contract administration.
  • Knowledge of hybrid and virtual event formats.
  • Interest in wellbeing, employee engagement, sustainability, and workplace innovation.

Hybrid / on-site requirement

 

This role is predominantly an on-site role (3-4 days subject to business requirements), reflecting the hands-on nature of workplace experience delivery and the need to provide visible, responsive support for operational activity, corporate events, hospitality, visitor experience, and day-to-day stakeholder requirements. There is potential for a hybrid approach as business requirements dictate as such flexibility is required.
